This Privacy Policy describes how Easily Moved Equipment Inc. (eme, we, us) collects, uses, discloses, and protects personal information in connection with:

  • the website at easilymovedequipment.com and any related subdomains (the Website); and
  • the eme Sales + Ops Suite (sometimes called the Quoting App) and its QuickBooks Online integration (collectively, the Application).

By using the Website or the Application, you acknowledge that you have read and understood this policy. If you do not agree, please do not use the Website or Application.

1. Who we are

Easily Moved Equipment Inc. is a private Canadian company headquartered in Ontario, Canada. We design and manufacture portable aluminum lifting equipment — gantry cranes, davit cranes, sockets, lifting beams, and accessories — for industrial customers across North America. We are the data controller (or, under Canadian law, the organization responsible for personal information) for the data described in this policy.

2. Information we collect

2.1 Information you provide directly

  • Contact and quote requests — name, business email, phone number, company, role, project details, and any other information you choose to provide when you submit a contact form, request a quote, request a spec sheet, register for the rental network, or otherwise reach out to us.
  • Customer account and order information — billing and shipping address, purchase-order details, payment terms, and order history needed to fulfill a sale, rental, or service.
  • Application user data — for users of the Application, the account information needed to authenticate (name, work email, role, organization).

2.2 Information collected automatically through the Website

  • Usage data — pages visited, referring URL, links clicked, approximate location (derived from IP), device type, browser, operating system, language, and time of visit.
  • Cookies and similar technologies — see Section 7 (Cookies) below for details.
  • Analytics — we use Google Analytics 4 and Google Tag Manager to understand traffic patterns and improve content. These providers receive the usage data described above.

2.3 Information accessed through the QuickBooks Online integration

When a customer connects their QuickBooks Online (QBO) account to the Application, the Application accesses certain data from that QBO company file through Intuit's authorized APIs and under the scopes the customer explicitly approves at connection time. Depending on the scopes authorized, this may include:

  • QuickBooks company profile (company name, country, currency, tax-registration numbers, base address)
  • Customer records (name, billing/shipping address, email, phone, tax-exempt status, payment terms)
  • Product and service catalog items (SKU, description, list price, cost, taxability, income/expense account mappings)
  • Estimates, sales orders, and invoices the customer creates or syncs through the Application (line items, quantities, pricing, totals, tax lines, status, attached document references)
  • Chart-of-accounts entries needed to map line items to the correct QuickBooks accounts
  • Payment and credit memo references where the customer chooses to sync them

We do not access banking credentials, full bank or credit-card numbers, payroll detail, payroll tax filings, or employee personally identifiable information through the QBO integration unless a customer explicitly grants and uses a scope that requires it for a feature they have enabled. The Application accesses only the QBO data needed to deliver the feature the customer is actively using (for example, creating an estimate, syncing a customer record, or pulling a price-list update).

2.4 Information from other sources

We may receive personal information about you from third parties when: you are referred by a distributor, dealer, or rental-network partner; you appear as a contact on a tender or RFQ document forwarded to us; you interact with us at a trade show; or you appear in a public business directory we use for outreach to qualified industrial accounts.

3. How we use information

We use the information described in Section 2 to:

  • respond to your inquiry, quote your project, and fulfill orders or rentals;
  • operate, secure, and improve the Website and the Application;
  • generate, send, and track estimates, sales orders, and invoices between the Application and the customer's QuickBooks Online company file;
  • maintain customer accounts, manage support requests, and provide warranty service;
  • send transactional communications (order confirmations, shipping updates, support replies);
  • send marketing communications you have consented to receive — you can unsubscribe at any time;
  • analyze how the Website is used so we can improve its content and structure;
  • detect, prevent, and address fraud, abuse, and security incidents; and
  • comply with our legal, accounting, audit, tax, export-control, and regulatory obligations.

4. Legal basis (Canada, U.S., and elsewhere)

In Canada, we rely on your consent (express or implied, depending on the sensitivity of the information) and on the legitimate-business-interests exceptions permitted by the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. In the United States, processing is permitted under applicable state privacy laws (including the CCPA/CPRA where it applies) for the business purposes described above. We do not sell personal information.

5. How we share information

We share personal information only as needed and only with:

  • Service providers (subprocessors) who operate infrastructure, analytics, communications, and the accounting platform the Application integrates with — including:
    • Intuit Inc. (QuickBooks Online — accounting and invoicing platform we sync to under the user's authorization)
    • Cloudflare, Inc. (Website hosting and content delivery)
    • Google LLC (Google Analytics 4 and Google Tag Manager for website analytics)
    • email-delivery and customer-support providers we use to respond to inquiries and send transactional messages
    Each subprocessor is bound by contract to handle personal information consistently with this policy and only for the purposes we direct.
  • Authorized eme channel partners (distributors, dealers, rental partners) when a lead or order is routed to them with your knowledge — for example, when you request a quote in a region we serve through a partner.
  • Professional advisors (auditors, accountants, counsel) under confidentiality obligations.
  • Government authorities where required by law, court order, or to enforce our legal rights.
  • An acquirer in connection with a merger, acquisition, financing, or sale of business assets, subject to customary confidentiality protections.

6. International transfers

eme is based in Canada; some of our service providers (including Intuit and Google) process data in the United States and other countries. By using the Website or Application you understand that your information may be transferred to and processed in jurisdictions outside your country of residence, including jurisdictions that may not provide the same level of data-protection law as your home jurisdiction. We use contractual and technical safeguards consistent with PIPEDA's accountability principle when we transfer personal information across borders.

7. Cookies and similar technologies

The Website uses cookies and similar technologies for three purposes:

  • Strictly necessary — to load and secure the site (these cannot be disabled without breaking the site).
  • Analytics — Google Analytics 4 and Google Tag Manager set cookies that help us understand traffic and content performance.
  • Advertising measurement — when display campaigns are running, our advertising partners may set cookies to measure campaign performance. We do not use these cookies to build detailed personal profiles.

You can block or delete cookies through your browser settings. Doing so may degrade Website functionality.

8. Data retention

We retain personal information only as long as needed for the purpose it was collected, plus any period required to meet legal, accounting, warranty, or tax obligations. Contact and quote records are typically retained for the duration of the commercial relationship and for a reasonable period afterward. QuickBooks Online integration data is retained while the integration is active; if a customer disconnects the integration, we delete the cached integration data within a commercially reasonable time, subject to backup-retention cycles and any record we are legally required to keep.

9. Security

We use administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, loss, misuse, or alteration — including encryption in transit, encryption at rest for sensitive stores, access controls on the Application, and least-privilege administrative practices. No internet-based service can be made 100% secure; we cannot guarantee absolute security, but we will investigate and respond to any incident in accordance with applicable breach- notification laws.

10. Your rights

Subject to applicable law, you have the right to:

  • access the personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • withdraw consent to marketing communications at any time;
  • request deletion of personal information (subject to legal- retention obligations); and
  • file a complaint with the Office of the Privacy Commissioner of Canada or your provincial regulator if you believe we have not handled your information correctly.

Send rights requests to privacy@easilymovedequipment.com. We may need to verify your identity before completing the request.

11. QuickBooks Online customers — disconnecting and data deletion

If you are a customer who connected your QuickBooks Online company to the Application, you can disconnect the integration at any time from inside the Application or from your QuickBooks Online Apps screen. Disconnecting revokes the Application's access to your QBO data. To request deletion of any data cached or stored by the Application in connection with that integration, email privacy@easilymovedequipment.com from the email address associated with your account.

12. Children

The Website and Application are intended for business use by adults. We do not knowingly collect personal information from children under 13 (or the equivalent age in your jurisdiction). If you believe a child has provided us personal information, contact us and we will delete it.

13. Changes to this policy

We may update this Privacy Policy from time to time. We will update the Last reviewed date at the top of this page when we do. Material changes will be communicated through the Website or, where appropriate, by direct notice. Continued use of the Website or Application after the revised policy takes effect constitutes acceptance of the revised policy.
